Pappageorge Haymes Partners (PH) is seeking an Architectural Billing Specialist to join our team. This position takes ownership of the billing process and plays a key role in maintaining financial clarity across projects. Job Responsibilities:
- Lead monthly project billing and invoicing in alignment with contract terms and project schedules
- Partner with Project Managers to review billing, track project progress, and support financial decision-making
- Generate and review project financial reports, ensuring accuracy and clarity of data
- Set up new projects, including contract review and budget coordination
- Manage project financial updates, including adjustments, transfers, and billing revisions
- Review and validate timesheets for billing accuracy and make necessary labor adjustments
- Coordinate draft invoice review and follow-up with project teams
- Respond to internal and external inquiries related to project billing and financial records
- Maintain organized and accurate financial documentation across all project phases
- Contribute to ongoing process improvements to support efficiency and consistency
Experience:
- Bachelor’s degree in Accounting, Finance, or related field
- 2+ years of relevant experience, preferably in architecture/engineering (A/E) or professional services
- Strong understanding of project-based accounting principles
- Highly organized with strong attention to detail and accuracy
- Ability to manage multiple projects and deadlines in a fast-paced environment
- Proficiency in Microsoft Office, particularly Excel
- Proficiency in Deltek (preferred)
- Self-directed, dependable, and comfortable taking ownership of work
